USING YOUR PERSONAL INFORMATION
As a result of our relationship with you we will hold a significant amount of personal information about you. Where you are a joint tenant, this personal information will relate to all joint tenants and any one joint tenant will be able to access all of that information in accordance with your joint and several responsibilities under the contract you have entered into.
Personal Information which you supply to us may be used in a number of ways, for example:
- to make decisions in relation to offers of accommodation
- to assist in applications for benefits and other assistance
- to investigate and prevent fraud and crime
- to administer, manage and terminate any licence entered into
We may share your information with other companies within the New Charter Group, and obtain information about you from other sources to help us in the management of your tenancy.
We will not disclose any information to any company outside of the New Charter Group except to help prevent fraud, where required to do so by law, where you have been told in advance that we propose to disclose your information and you have been given the opportunity to opt out of that disclosure or where you have otherwise agreed to the disclosure of that information. We will not use your information or allow your information to be used for any sales or marketing activity unless we obtain your permission in advance. We will share information routinely with Local Authorities for Council Tax and Benefit purposes and with utility companies to advise when there has been a transfer of responsibility from any Group company.
We will retain your information for the duration of your relationship with us and for a reasonable period after that relationship ends.
We can only be responsible for the security of your information as far as our systems and servers are concerned. Where you access this system and/or print off any documents or information from this system, we cannot be held responsible for the security of the information you have accessed or printed. It is your responsibility to ensure the security of any passwords or codes used to access the system.
